Job Description

Our renown legal client is seeking a dynamic and results-oriented Operations Manager to assess the firm's day-to-day operational efficiency and contribute strategically to future growth. Reporting directly to the Chief Operating Officer (COO), the Operations Manager will be instrumental in optimizing processes, managing key administrative functions, and ensuring the smooth and effective operation of our firm. This role offers a unique opportunity to leverage your experience with Salesforce, a leading cloud-based Customer Relationship Management (CRM) platform used for managing client relationships, internal processes, and data, as well as bonus administration and broader operational management within a sophisticated legal environment.

Responsibilities:
  • Serve as the firm's primary Salesforce administrator, responsible for maintaining, customizing, and optimizing the platform to enhance client relationship management, marketing efforts, internal communication, and other operational workflows. Develop and implement Salesforce training for users and ensure data integrity.
  • Administer the firm's bonus programs, including calculating payouts, tracking performance metrics, and ensuring accurate and timely distribution in accordance with established policies. Collaborate with leadership on program design and updates.
  • Identify opportunities for process improvement across all operational areas of the firm. Develop, document, and implement streamlined workflows to enhance efficiency, reduce costs, and improve overall productivity.
  • Collaborate with IT vendors and internal teams to ensure the firm's technology infrastructure supports operational needs. Participate in the evaluation and implementation of new technologies and software solutions.
  • Oversee the maintenance and functionality of the firm's physical office space, ensuring a safe, professional, and productive work environment. Manage vendor relationships for facility-related services.
  • Identify, evaluate, and manage relationships with external vendors providing essential services to the firm, ensuring cost-effectiveness and high-quality service delivery.
  • Develop and generate regular reports on key operational metrics, providing insights to the COO and other stakeholders to support data-driven decision-making. This may include data extracted from Salesforce.
  • Lead and manage various operational projects, ensuring timely completion within budget and scope.
  • Assist in the development, communication, and implementation of firm-wide policies and procedures.
  • Work closely with all departments within the firm, fostering a collaborative and communicative environment.
  • Provide direct support to the COO on a variety of strategic and operational initiatives, taking on ad-hoc projects and responsibilities as needed.

Qualifications:
  • Bachelor's degree in Business Administration, Operations Management, or a related field. Master's degree preferred.  
  • Minimum of 5 years of progressive experience in operations management, preferably within a professional services environment (law firm experience highly desirable).
  • Proven experience working with the Salesforce platform for operational management, client relationship management, reporting, and process automation. Strong administrative skills, including configuration, customization, reporting, and user training, are essential.
  • Demonstrated experience in managing and administering bonus programs.
  • Strong understanding of operational best practices and process improvement methodologies (e.g., Lean, Six Sigma).
  • Excellent project management skills with the ability to manage multiple priorities and deadlines effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).  
  • Exceptional analytical, problem-solving, and decision-making skills.
  • Excellent communication, interpersonal, and presentation skills.
  • Ability to maintain confidentiality and exercise sound judgment.  
  • A proactive and results-oriented approach with a strong attention to detail.
