Job Description


Our successful investment client is seeking a highly organized and proactive Executive/Personal Assistant to support a key executive at the firm. The ideal candidate will ensure that personal and professional obligations are seamlessly managed. Responsibilities also include overseeing the day-to-day operations of the Houston office, ensuring a smooth and efficient work environment.

Key Responsibilities
  • Manage complex calendars, scheduling meetings, travel, and personal appointments
  • Handle travel arrangements for business and personal trips, ensuring seamless logistics
  • Serve as a liaison between the executive and internal/external stakeholders, maintaining professionalism and confidentiality
  • Assist with event planning, both professional and personal, including team offsites and client entertainment
  • Anticipate needs and handle personal errands to make daily life more efficient
  • Oversee the setup and ongoing management of the new Houston office, ensuring smooth day-to-day operations
  • Maintain office supplies, coordinate vendor services, and manage facilities-related needs.
  • Handle invoices, expense reports, and document preparation (Word, Excel, PowerPoint)
  • Organize and maintain confidential files and records
  • Act as the point of contact for office service providers, ensuring timely and professional support
  • Assist in planning client meetings, team gatherings, and business functions

Requirements:
  • Bachelor’s degree
  • 5+ years of experience in a similar role supporting executives or high-net-worth individuals
  • Strong communication and interpersonal skills
  • Ability to work independently while also collaborating with the broader team
  • Experience managing both professional and personal responsibilities for a senior executive
