Job Description
Our dynamic and rapidly growing central Houston oil and gas client is seeking a highly skilled and organized Executive Assistant to provide support to their executive team. The successful candidate will be a proactive and detail-oriented professional with exceptional organizational and communication skills.

- Accurately prepare and manage expense reports for executives, ensuring compliance with company policies.
- Track and reconcile expenses, collaborating with accounting to maintain financial records.
- Work closely with other executive assistants to facilitate seamless communication and coordination across departments.
- Foster a team-oriented environment by sharing best practices and providing support as needed.
- Arrange and coordinate domestic travel for executives, including flight bookings, hotel accommodations, and ground transportation.
- Manage travel itineraries, ensuring efficiency and addressing any changes or issues that may arise.
- Act as a gatekeeper, managing and prioritizing incoming communications and requests for the executives.
- Screen calls, emails, and visitors, maintaining confidentiality and professionalism at all times.
- Maintain and organize executives' calendars, scheduling meetings, appointments, and conference calls.
- Anticipate and proactively address scheduling conflicts, ensuring optimal use of executives' time.
- Prepare, edit, and proofread various documents, presentations, and correspondence for executives.
- Maintain organized electronic and physical filing systems.
- Proven experience as an Executive Assistant or in a similar role, preferably within the oil and gas industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
- Strong organizational and multitasking skills, with a keen attention to detail.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proactive and resourceful problem solver.
- Bachelor's degree in Business Administration or a related field is preferred.
- Minimum of 3-5 years of executive support experience.
