ABOUT THE ROLE
Our Client is seeking a detail-oriented Project Billing & Portal Specialist to manage the full Order-to-Cash cycle. This role is critical in translating complex field service and ERP data into customer-specific procurement portals while ensuring accuracy, compliance, and timely invoicing.
RESPONSIBILITIES
Manage and document invoicing procedures across multiple customer portals including AES, Ariba, Coupa, and Track
Submit outstanding invoices and resolve portal rejections in a timely manner
Collaborate with the CFO to identify and implement invoicing best practices
Reconcile technician hours and per diems against gate logs and site-specific service tickets
Ensure ERP data including labor categories, equipment usage, and per diems align with contract terms and Master Service Agreements
Proactively resolve line item disputes by coordinating with Project Managers
Maintain accurate and complete documentation including signed field tickets and safety logs to meet audit requirements
QUALIFICATIONS
Minimum of 4 years of industrial billing experience
Proven experience working with customer invoicing portals
Strong understanding of gate-log reconciliation and industrial time and materials billing rules
Experience with ERP systems such as Acumatica or similar platforms
Advanced Excel skills including pivot tables and VLOOKUP
Ability to assess processes, identify inefficiencies, and recommend improvements
Strong interpersonal skills with the ability to navigate change and influence team adoption
Associate’s Degree in Accounting or Business Administration preferred, or equivalent experience
