Job Description

Our reputable and established client specializing in Accounting, and Financial Services is seeking to add an Administrative Client Advocate to their firm. The position is a pivotal role in providing both administrative and fostering strong relationships with the firm’s clients and serving as their advocate within the firm. While managing the office tasks, assisting with document preparation, you will also act as a liaison between clients and internal teams, ensuring their needs are understood and met promptly and effectively.
RESPONSIBILITIES:
Greet clients and visitors in a professional and courteous manner.
  • Answer and direct phone calls promptly and appropriately.
  • Managing incoming and outgoing mail and packages.
  • Assist clients with inquiries and direct them to the appropriate team members.
  • Identify and address client concerns or issues in a timely and efficient manner.
  • Advocate on behalf of clients with the firm, ensuring their needs are prioritized and addressed.
  • Work closely with internal teams to coordinate client requests and deliverables, ensuring timely and high-quality service.
  • Act as a trusted advisor to clients, providing guidance on firm and solutions that meet their business objectives.
  • Maintain client records and ensure confidentiality of sensitive information.
  • Collaborate with partners to identify opportunities for client engagement and retention.
  • Provide training or support to clients on using firm’s software, tools, or resources.
  • Prepare, format, and proofread documents such as reports, correspondence, and presentations.
  • Maintain electronic and physical filing systems, ensuring accuracy and organization.
  • Order and maintain office supplies, ensuring adequate stock levels.
  • Coordinate office maintenance and repairs as necessary.
  • Ensure compliance with insurance policies and adjustments as required.
  • Coordinate and point of contact for office celebrations, holidays, and company outings.

QUALIFICATIONS
 
  • Associate degree, preferred
  • 2+yr proven experience in an administrative role, preferably within an accounting or professional services firm.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Discretion and professionalism when handling confidential information.
